This planning overview explains the topics covered by the event-specific agreement. It is not the final contract or legal advice. Your signed quote and agreement will control.
01
Reservation and payment
A website request does not hold inventory. A date becomes reserved only after Buena Fortuna confirms the collection and logistics, both parties sign the event-specific rental agreement, and the stated retainer clears. The quote will identify the rental charge, services, applicable taxes, security deposit if required, payment schedule, and cancellation terms.
02
Rental period and care
The rental period begins at the delivery or approved pickup time and ends after collection or accepted return. The client must keep every piece indoors or in an approved protected location, prevent guest handling, and follow all placement and care instructions.
03
Damage, cleaning, and loss
The client is responsible for loss, theft, staining, broken branches, crushed flowers, damaged frames, damaged bases, or other harm beyond ordinary wear during the rental period. The signed agreement may authorize documented cleaning, repair, labor, or replacement charges.
04
Delivery, installation, and access
The client must provide accurate venue access, parking, loading distance, stairs, elevator limits, setup windows, strike times, and an on-site contact. Changed or incomplete access information may affect timing, labor, delivery fees, or whether installation can proceed safely.
05
Self pickup and drop-off
Discounted self pickup and drop-off in Ventura may be approved for suitable orders. The vehicle, protective materials, loading assistance, and handling plan must protect the inventory. Installation-sensitive pieces or larger orders may require professional delivery.
06
Approved placement
Pieces may not block exits, fire equipment, sprinklers, venue operations, or safe guest paths. Guests and vendors may not climb, hang from, sit on, rewire, move, or attach unapproved signs, florals, lighting, tape, wire, hooks, or adhesives to the inventory.
07
Rain and moisture
The collection is not weatherproof. Rain, drizzle, mist, damp ground, irrigation, standing water, condensation, or wet surfaces can damage the flowers, frames, bases, and finish. Outdoor or semi-outdoor use requires written approval and a dry, protected backup location.
08
Wind, heat, and unsafe conditions
Strong wind, unstable ground, unsafe heat, venue restrictions, or other hazardous conditions may require relocation, delayed setup, early removal, modified installation, or refusal to install. Buena Fortuna will prioritize guest, venue, team, and inventory safety.
09
Weather plan and decision timing
The client and venue are responsible for a workable indoor or fully protected backup plan. The event-specific agreement will identify the weather decision deadline and the financial effect of relocation, rescheduling, cancellation, labor already performed, and transportation already dispatched.
10
Photography and personal items
Client signs, florals, candles, electronics, and personal items remain the client’s responsibility unless specifically listed in the quote. Photography permission for any event content will be handled separately from the rental agreement.
Before public launch
This business draft should be reviewed by a California attorney and a qualified California tax professional. California tax treatment for tangible-property rentals depends on how the inventory was purchased, placed into rental service, and used.
